The Sales Operations Specialist reports directly to the Vice President of Sales. This role supports internal sales staff (President, Business Development Directors, etc.), liaises with operations staff (SVP of Operations, Department Directors), and creates operational efficiencies within the sales team. The Sales Operations Specialist provides CRM management, business development and sales support, and B2B lead generation and strategy. The Sales Operations Specialist connects clients and prospects to the appropriate company resource throughout the customer lifecycle. This role will build effective relationships across our sales and operations staff to support client retention and the development of new sales leads. This role will also manage the Certificate of Insurance (COI) request process and serve as the primary liaison with the parent company’s legal team to facilitate the transition of verbal sales awards to fully executed contracts.
Active listening and clear communication are crucial for understanding needs and preferences. The Sales Operations Specialist role requires a high level of accuracy, timeliness, proactivity, and problem-solving ability. Additionally, a working knowledge of CRM software is required. 

Responsibilities: 

- Provide support to the President, SVP of Operations, Vice President of Sales, Business Development Directors, and Department Directors on sales-to-operations efficiencies.

- Manage and report on monthly sales pipeline data and trends.

- Log CRM sales data entries and updates, sales and account information, and assist in scheduling client meetings for sales team.

- Maintain high level of communication with company, sales, and division leaders and ensure clear workflow, timely communication, and organizational details are followed.

- Provide lead generation strategic calls, workshops, internal communications, and executing sales strategy.

- Evaluate inbound leads based on specific criteria, such as interest level, budget, and service fit.

- Determine legitimacy of lead and how likely it is to turn into an opportunity with a service fit.

- Engage with leads via phone calls, e-mails, or other communication channels.

- Schedule meetings for sales executives with service fit opportunities.

- Support and update various sales and account management documents.

- Support sales team in initiating and completing requests for proposals (RFPs), presentations, and capability briefings.

- Work closely with marketing and finance teams on marketing needs, invoicing, contracts, and sales-to-operations handoff procedures.

- Maintain high-level knowledge of company services and departments (Sustainability, ESG, Engineering, Climate Investment Solutions) and be able to incorporate into client communications.

- Be an active participant in the sales team to grow internal relationships and new markets/revenue.

- Manage all Certificate of Insurance (COI) requests, ensuring timely processing and compliance with organizational and client requirements.

- Serve as the primary liaison with the parent company's legal team to facilitate the transition of verbal sales awards into fully executed contracts, ensuring alignment with corporate policies and timelines.

- Prepare contract templates, short order forms and mediate between client and legal team.

- Collaborate with the internal sales team to track contract awards, providing regular updates on status, potential challenges, and pain points to ensure alignment and proactive issue resolution.

- Manage ad hoc requests for event sponsorships and business development opportunities, evaluating feasibility, coordinating approvals, and ensuring alignment with organizational goals and budget constraints.

Qualification

- BA/BS degree in Business/Management related field, or equivalent experience.

- At least 3 years of experience with CRM software and sales operations roles

- ClickUp and Microsoft Dynamics experience is preferred

- Excellent computer skills in Excel, Word, PowerPoint, PDF, Canva, etc

- Excellent verbal and written communication skills

- Ability to multi-task, prioritize and manage time effectively

- Ability to understand RFP requirements for preparation of pricing, proposal and presentation documents

- Motivated – energetic, proactive, creative self-starter, and a team player with integrity

- Confident – able to take a task and complete using good judgement and sound reasoning

- Accurate and attentive to details

- Reliable – able to work independently and collaboratively

- Excellent organizational skills
